About Brandt

Brandt is the get-outdoors company. State and local agencies steward the parks, lakes, and wildlife people come for; our platforms make getting there easy — from purchasing a hunting or fishing license, to registering a boat, to reserving a campsite — and help agencies manage those resources sustainably. A family with a trip planned doesn’t get a second try at opening day, and neither do we. We're modernizing our platform and building new products, always with an eye toward making that experience better for the agencies and the people who depend on it.

Job Summary

The Hard Card Operations Coordinator owns Brandt’s Hard Card program from planning through production and launch, keeping the work on schedule, on standard, and moving smoothly across clients and internal teams. Hard Card coordination is expected to occupy approximately 60% of the role. Remaining capacity supports operational process improvement, documentation, sales analytics, and other Print Fulfillment initiatives. Hard Card responsibilities take priority unless the direct manager explicitly directs otherwise; actual time allocation will vary with production demand.

This role suits a self-starter who takes action without waiting for direction, and someone who is organized, proactive, comfortable working directly with clients, and eager to learn. Graphic design, print, or prepress experience is helpful but not required. Training, SOPs, tools, and subject-matter experts will support the technical side of the work.

What You’ll Do

Hard Card Production (approximately 60%)

  • Own and coordinate the end-to-end Hard Card program across all clients, from kickoff through production and launch, ensuring schedules, milestones, dependencies, approvals, and deadlines remain on track.
  • Manage client and internal stakeholder coordination by setting expectations, obtaining timely inputs and approvals, following up on commitments, and communicating progress, risks, next steps, and ownership.
  • Coordinate creative development and proofing, including sourcing artwork, preparing assets, managing revisions, and routing proofs for appropriate review and approval.
  • Coordinate and verify production readiness against established standards, SOPs, and checklists; refer technical quality approvals and final production decisions to authorized Print Fulfillment personnel.
  • Build and maintain the annual production calendar across all clients, establishing schedules, milestones, dependencies, approvals, and deadlines while proactively identifying, resolving, or escalating scheduling, handoff, and delivery risks to support consistent, on-time launches.

Operational Improvement, Analytics, and Other Initiatives (remaining capacity, approximately 40%)

  • Identify, implement, and document workflow improvements across Hard Card and Print Fulfillment operations; maintain SOPs, checklists, and templates to reduce rework, unnecessary handoffs, delays, and inconsistent practices.
  • Track operational measures such as on-time delivery, revision cycles, and approval turnaround; review lessons learned after production cycles and collaborate with production and client-facing teams to implement improvements.
  • Analyze Hard Card sales trends, best-selling designs, and customer feedback to inform product and operational recommendations, and support other flexible, non-urgent Print Fulfillment initiatives as assigned. Hard Card responsibilities take priority unless the direct manager explicitly directs otherwise.

What You Bring

  • Plans and Aligns: Organizes schedules, milestones, and dependencies across multiple clients while balancing competing priorities.
  • Drives Results: Takes ownership from start to finish, follows through on commitments, and keeps work moving toward completion.
  • Action Oriented: Anticipates needs, acts proactively, and seeks guidance promptly when necessary.
  • Customer Focus: Builds trust with clients through clear expectations, responsiveness, and reliable follow-through.
  • Communicates Effectively: Provides timely, accurate updates and coordinates stakeholders without relying on formal authority.
  • Optimizes Work Processes: Identifies inefficiencies and translates improvements into practical, repeatable procedures.
  • Manages Complexity: Coordinates moving parts, identifies risks early, and adapts when priorities change.
  • Nimble Learning: Quickly develops knowledge of creative, graphic, print, and workflow processes.
  • Attention to Detail: Maintains accuracy, consistency, and quality across approvals, records, and deliverables.
  • Technical Proficiency: Uses Microsoft 365 effectively and is comfortable learning project, workflow, and design tools.

 What You Will Need

Staff I

  • 1–3 years of experience in coordination, production, operations, or a client-facing role.
  • Accountability for coordinating the full Hard Card program across clients using established SOPs, with manager guidance and oversight on non-routine issues.
  • Experience managing several timelines at once and planning milestones and approvals within a larger calendar.
  • Clear communication of status, next steps, and requests to clients and internal teams.
  • A self-starter who acts on routine issues without waiting for direction and brings a proposed next step when escalating.
  • Working knowledge of creative, proofing, or print production steps, or the ability to build it quickly through training.
  • Ability to update SOPs and checklists and suggest specific improvements to the steps you own.

Staff II

  • 3–5 years of experience coordinating projects, production schedules, or client deliverables, ideally in print, marketing, or creative production.
  • Ability to independently coordinate the full Hard Card workflow and annual production calendar across all clients, resolving non-routine issues with limited manager oversight.
  • Proven ability to take action without direction, anticipating needs and moving work forward across clients before being asked.
  • Experience setting clear expectations with clients and holding clients and internal teams to deadlines without formal authority.
  • A track record of identifying and implementing process improvements that reduce rework, handoffs, or delays.
  • Experience creating and maintaining SOPs, checklists, and templates that others use.
  • Ability to independently verify production readiness against established standards, escalating technical quality approvals and final production decisions to authorized Print Fulfillment experts.
  • Ability to prioritize Hard Card delivery over flexible secondary assignments, unless the direct manager explicitly directs otherwise, and adjust workload as production demand changes.

Preferred

  • Familiarity with Brandt’s state agency clients, licensing products, or Print Fulfillment workflows.
  • Familiarity with graphic design, prepress, or print production.
  • Experience with Adobe Creative Cloud or similar tools.
